DealerFX Integration Is Now Live
We’re excited to announce that Alpha Drive AI’s DealerFX integration is now live.
When we first introduced DealerFX support, we described it as a ground-up integration built specifically for DealerFX’s scheduling architecture. Since then, we’ve been validating the complete scheduling workflow and refining the experience with our early dealership partners.
Today, DealerFX dealerships can put Alpha Drive AI to work handling service scheduling conversations and booking appointments directly onto their schedule.
Service Scheduling, Connected to DealerFX
For customers already in your DMS, the experience is fully self-service from start to finish.
Alpha Drive AI can:
- Recognize returning customers by phone number and greet them by name
- Access their vehicle and service information
- Book new service appointments
- Find existing appointments
- Reschedule appointments
- Cancel appointments
For the vast majority of service callers, that means the entire scheduling experience can be handled conversationally without requiring an advisor.
An Important DealerFX API Limitation for First-Time Callers
There is one important limitation service managers should understand at launch. This is a limitation of the current DealerFX API workflow, not a limitation of Alpha Drive AI.
It affects callers who are not yet represented by a customer record in the dealership’s DMS.
The good news: first-time callers can still book service successfully. Alpha Drive AI creates the appointment through DealerFX, and the appointment appears correctly on the dealership’s schedule.
The limitation comes if that first-time caller contacts the dealership again to modify the appointment.
Under the current DealerFX API workflow, these new-customer appointments are created without a DMS customer record attached and without a vehicle VIN. DealerFX’s API does not currently provide Alpha Drive AI with a reliable identifier that can be used to associate that caller with the appointment on a later call.
As a result, Alpha Drive AI cannot reliably retrieve that appointment to reschedule or cancel it automatically.
Rather than guess or risk modifying the wrong appointment, Alpha Drive AI routes the caller to your service team.
What This Means in Practice
The distinction is simple:
Already in your DMS: Full self-service.
Alpha Drive AI can identify the customer, access their vehicle information, book appointments, and retrieve existing appointments to reschedule or cancel them.
Not yet in your DMS: Booking works, but subsequent changes require an advisor.
Alpha Drive AI can create a real appointment that appears correctly on your DealerFX schedule. If that customer calls back to reschedule or cancel, the current DealerFX API does not expose the information necessary for Alpha Drive AI to reliably identify the appointment, so the caller is routed to your team.
Nothing is wrong with your Alpha Drive AI configuration, DealerFX configuration, or dealership data. No setup changes or corrective action are required to keep appointments flowing.
What Service Managers Should Watch For
Because most service appointments come from returning customers already known to the dealership, full self-service covers the bulk of scheduling volume.
You should, however, expect some reschedule and cancellation requests from first-time callers to reach an advisor.
Cancellation calls deserve particular attention. If a first-time caller is transferred but cannot reach someone to complete the cancellation, the original appointment remains on the schedule and that service slot could go unused.
We recommend treating these transfers with the same priority as a direct cancellation request.
Closing the Gap
We’ve already designed an enhancement to work around this API constraint by allowing the agent to locate first-time-caller appointments using the caller’s phone number.
Once implemented, this will allow more first-time customers to call back and reschedule or cancel their appointments with the same self-service experience available to returning customers.
That work is in our development backlog, and we expect to share an estimated timeframe shortly.
Some DealerFX API constraints may still create edge cases that require an advisor, including appointments booked unusually far in advance and certain multi-brand scenarios where the caller has not yet identified which vehicle they’re bringing in. We’ll document those cases precisely as additional functionality becomes available.

DealerFX represents another major step toward giving dealerships an AI agent that works directly with the systems their service teams already use.
Our philosophy with integrations is straightforward: use every capability the underlying platform makes available, protect appointment integrity when it doesn’t, and be transparent with dealers about the difference.
When an integration cannot safely complete an action because the underlying API does not expose the information required, Alpha Drive AI doesn’t guess. It hands the conversation to your team.
